About the Role
As a Company Secretarial Administrator, you will provide administrative and secretarial support to ensure compliance with statutory and legal requirements while assisting in corporate governance responsibilities.
Key Responsibilities
- Statutory & Legal Compliance
- Ensure timely statutory filings and maintain statutory registers/records in compliance with regulations.
- Assist in implementing Board of Directors' decisions and preparing Annual Reports.
- Update and manage records in company software while ensuring confidentiality.
- Management Support
- Assist senior officers in providing company secretarial services.
- Keep senior officers informed on key ongoing matters while maintaining discretion and confidentiality.
- Administrative Support
- Prepare and draft letters, reports, and documentation.
- Manage incoming correspondence, transcribe meetings, and maintain organised filing systems.
- Handle inquiries, act as a reference point for internal and external stakeholders, and provide professional support.
- Meetings & Calendar Management
- Organise and manage board/committee/shareholder meetings, including scheduling, preparation of board packs, and minute-taking.
- Coordinate meeting logistics and ensure timely follow-ups on action items.
- AML-CFT Compliance
- Ensure adherence to the company’s AML-CFT policies and procedures in all secretarial functions.
Preferred Qualifications & Experience
- Education: Part or full ICSA qualification or equivalent.
- Experience: Minimum of 2-3 years in corporate secretarial services.
- Strong attention to detail and organisational skills.
- Ability to handle confidential information with discretion.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and governance software.
- Ability to manage multiple tasks and work under tight deadlines.
